How to evaluate AEC project management software.

AEC project management software should do more than recreate a generic task board. The useful evaluation question is whether the system keeps the project register, standard stages, drawings, field information, maps, equipment context, and decisions connected without forcing the team to rebuild the same record across separate tools.

Start with the project register

Ask whether leaders can find every active project, filter by client or status, identify work that is behind schedule, and open the current stage without assembling a report first. A searchable register is the portfolio-level foundation; dashboards are only useful when they lead back to accountable project detail.

Test your real workflow, not the demo workflow

Create a project from your firm's standard phases, assign a real team, add due dates, and move work through the same review points you use today. Reusable workflow templates matter because architecture, engineering, surveying, and construction teams do not all deliver projects through the same generic sequence.

Follow information from field to deliverable

A serious evaluation should follow one field observation all the way through the system. Can a crew capture it on a map or report, can the office review it, and can the project team find it later beside the project and drawing it informed? This reveals whether the suite is connected or merely a collection of tabs.

Measure adoption and record quality

Run the trial with one live project and the people who will actually enter the information. Check how quickly they can complete common actions from a phone, whether responsibilities and dates remain visible, and whether the audit record explains who changed what. The best feature list is irrelevant if the project record becomes stale in week three.
